1. Scope and who we are

This Privacy Policy describes how Avasyo (we, us, or our) handles information when you visit our website, create an account, use the Avasyo application, or contact us about the Service. It should be read with our Terms of Service.

Avasyo provides a productivity and reflection workspace. In this policy, personal information means information that identifies, relates to, or could reasonably be linked with you.

2. Information we collect

Information you provide

  • Account information: name, email address, password credentials, avatar choices, and account preferences.
  • Workspace content: tasks, subtasks, notes, Brain Dump entries, Thought Board items, reminders, calendar entries, whiteboard content, status checks, and other information you choose to store.
  • AI content: prompts, conversations, instructions, profile details, and the task or workspace context you choose to make available to Calmai or another AI feature.
  • Connections: information needed to connect and operate an email, calendar, GitHub, webhook, or other integration, including the identifiers, settings, and permissions you choose.
  • Billing information: subscription, plan, invoice, and transaction details. Payment card information is handled by our payment processor and is not stored by Avasyo in full.
  • Support communications: messages, feedback, and information you provide when you ask for help.

Information collected automatically

We may collect technical and usage information such as IP address, browser and device type, approximate location derived from IP, pages or features used, timestamps, error information, and security or audit events. We use cookies, local storage, and similar technologies where needed to keep you signed in, remember preferences, support the app, and protect the Service.

3. How we use information

We use personal information to:

  • create and authenticate your account and provide your workspace;
  • save, sync, display, search, and organize the content you choose to store;
  • provide optional AI, recovery, reminders, integrations, billing, and support features you request;
  • process payments, manage subscriptions, and communicate important account or service changes;
  • monitor performance, troubleshoot issues, prevent abuse, detect fraud, and secure the Service;
  • understand aggregated usage and improve the reliability, accessibility, and usefulness of Avasyo; and
  • comply with legal obligations and enforce our agreements.

We rely on different legal bases where applicable, including performing our contract with you, your consent, our legitimate interests in operating and securing the Service, and compliance with legal obligations.

4. AI features and sensitive thoughts

When you use Calmai or another AI-assisted feature, we process the information needed to generate the requested response. This may include the text you enter, selected tasks or workspace context, your AI profile, and relevant conversation history.

Depending on the feature configuration, this information may be sent to an AI provider acting as a service provider to Avasyo. Providers may process data to return a response, provide security, and operate their service under their agreement with us. We do not use your private workspace content to sell advertising.

Do not share passwords, payment-card numbers, government identifiers, or information about another person unless you have a lawful reason and understand the risks. Treat AI conversations as workspace content: use the controls in the app to remove information you no longer want stored.

Wellbeing boundary: Avasyo is a productivity and reflection tool, not a healthcare provider or crisis service. Information you enter about stress, mental health, or recovery is handled as content you choose to store so the requested feature can work; it is not used to diagnose or treat you.

5. When we share information

We may share personal information in these limited circumstances:

  • Service providers: with companies that host databases, provide authentication, process payments, deliver AI responses, send communications, provide security, or help us operate the Service. They may use information only for contracted purposes.
  • Your instructions: with collaborators in shared workspaces, or with third-party services when you connect and authorize an integration. Workspace permissions and the other service's policy control what they can receive.
  • Legal and safety reasons: when reasonably necessary to comply with law, respond to legal process, protect people or property, investigate abuse, or protect the rights and security of Avasyo.
  • Business changes: as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality and legal protections.
  • With your direction or consent: for any other purpose you clearly authorize.

We do not sell your personal information for money. We do not share your private workspace content with advertisers for targeted advertising.

6. Retention and deletion

We keep information for as long as needed to provide the Service, maintain your account, meet the purposes described here, resolve disputes, enforce agreements, and satisfy legal, tax, accounting, or security requirements. Retention periods vary by the type and sensitivity of information.

When you delete content or request account deletion, we remove it from active systems within a reasonable operational period. Backups, fraud-prevention records, invoices, and information we must retain may remain for longer and are protected from ordinary use.

7. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, export, or restrict the processing of your personal information, object to certain processing, withdraw consent, or appeal a decision about your request. You may also have the right to complain to your local data-protection authority.

You can manage workspace content, preferences, integrations, billing, and account details through the controls available in Avasyo. You can disconnect an integration, stop using AI features, or decline optional cookies where those controls are offered.

To make a privacy request, email support@avasyo.com from the address associated with your account. We may verify your identity and will not discriminate against you for exercising a legal right. An authorized representative may make a request where permitted by law.

8. Security and international processing

We use reasonable administrative, technical, and organizational measures designed to protect personal information, including access controls and security monitoring. No online service is completely secure, so protect your credentials and tell us promptly about suspected unauthorized access.

Avasyo and its service providers may process information in countries other than where you live. Where required, we use appropriate safeguards for international transfers. The laws in those countries may differ from the laws where you live.

Children's privacy

Avasyo is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided information to us, contact us so we can investigate and remove it where appropriate.

9. Changes to this policy

We may update this policy as the Service, technology, or legal requirements change. We will post the revised version and update the date above. If a change materially affects your rights, we will provide additional notice where required.
